About Fultec Systems Limited

Fultec Systems Limited is a Belizean tech company with a rich 32-year history. They are the oldest and largest tech company in the country, playing a pivotal role in bringing technology to Belize. Fultec Systems is a family-owned business with a close-knit company culture, employing approximately 30 staff members. Their operations encompass retail stores offering various technological products and corporate sales catering to businesses of all sizes, including government offices and telecommunication companies.

Background 

Prior to implementing OrangeHRM, Fultec Systems, like many companies, relied on manual processes for HR tasks. This means paper-based filing systems, spreadsheets, and potentially siloed communication channels, making data entry, information retrieval, and overall HR management a cumbersome and time-consuming process.

The Challenge

Christine, the HR Manager at Fultec Systems, sheds light on the challenges they faced before OrangeHRM, A lot of the things that we do here and the vibe at the company is very family-oriented. Most of the employees here like the supervisors and managers would still come to me even though they have access to some of the information or being able to look up things for their staff members they kind of turn to the person that is and I quote the ‘expert’ in the software to assist them with you know gathering information or gathering data. This approach ensures data security while enabling supervisors and managers to access relevant employee information for informed decision-making.

Streamlined Leave Management with Automated Workflows

The Leave Management module offered by OrangeHRM automates the leave request and approval process, significantly reducing administrative burdens. Christine elaborates on the benefits, The employees…they actively use it because that is a part of our process in terms of requesting leave or looking up information…it's something that we definitely use often…I actively use it whenever somebody would see you know how much how many vacation days do I have…It’s an excellent reminder because again we're so we're so busy all the time doing our own things and trying to fulfill our duties in our individual roles that it is an excellent way for the supervisor to not miss when there is a request. Automated workflows not only save time but also ensure timely approvals and avoid missed requests, leading to a more efficient leave management system.

Improved Scheduling with Leave Visibility

The visibility of leave requests within the Leave Management module empowers supervisors and managers to plan staff schedules more effectively. I believe it has yes because it gives the supervisor or the manager time to prepare for coverage for that individual that will be out… By being aware of upcoming leave periods, supervisors can make informed decisions regarding workload distribution and ensure adequate staffing levels are maintained.

Streamlining Time and Attendance

While Fultec Systems is actively using the Time and Attendance module for basic functionalities like generating reports, Christine acknowledges there's room for further optimization, The team is actively using it…I have been using in terms of the time and attendance management is that I do have a report that I do that I send out to the supervisors and managers and that has to do with any leave or anybody who's going to be out for a period of time. So I have set up a report where it's an automatic email that is sent to them every Thursday so that you know if there are people that will be out for that following week or for any time after that specific day that they are they are able to see it it's a it's a good reminder for them also to be able to make sure that the time that that person will be out will be managed and we're not losing in productivity.

The Potential of Performance Management

OrangeHRM's Performance Management module offers a structured approach to employee performance appraisals. While Fultec Systems hasn't fully implemented this module yet, Christine recognizes its potential,Well for me as I said because it's well last year was my first year here in terms of the performance management so what I did was we already have something in OrangeHRM and what I wanted to do was to look at the questions and the way the process works first in order for me to be able to see if it's something that is working for us… 

Christine identifies areas for improvement in the pre-defined questions, suggesting tailoring them to better reflect Fultec Systems' specific needs. However, she acknowledges the overall value of the module, Yes I believe it will again because it was my first few months here when we actually did the appraisal at the end of the year I really just wanted to see how it works in terms of you know me prompting it,  putting deadlines,  making sure that it's completed and then you know us doing a review.   and then you know I did do a certification course in OrangeHRM so now I understand how that ties into like the goal setting in the system and I can see where that is something that we are able to actually put in place for the upcoming year and be able to keep track of the goals that we that we set out for the year. Implementing a structured performance management system with OrangeHRM can empower Fultec Systems to provide clearer expectations, conduct effective reviews, and track employee progress towards established goals.

Based on her experience with OrangeHRM, Christine confidently recommends the software to others, On a scale of 1 to 10 I would, I would honestly say an 8, a solid 8…I really do like OrangeHRM because it does serve the purpose and does give us what we need and what we want in terms of the type of business that we have in terms of the things that we want to do for our staff.
